The Programming & Event Committee is responsible for setting the content agenda, and sourcing speakers, for AMA NJ member/audience-facing virtual events (through June 2021 at least) and live events in the future.
Join the American Marketing Association NJ as a volunteer on our Programming & Events Committee as an Event Manager.
This position reports to the VP, Programming & Events, or AVP if a VP is not present.
General Responsibilities
- Collaborates and brainstorms with P&E VP, P&E team, President & others on topics and speakers for the July-June AMA fiscal year
- Partners with the VP/AVP on sourcing and recruiting speakers
- Manages, or assists with, logistics for specific events
- Maintains Airtable project management spreadsheet with status and materials
- Creates and Publishes Eventbrite Invitations, including creating the Eventbrite Main Image Art (existing Canva skill is desirable but not required)
Responsibilities: Zoom Events
- Manage Zoom Controls
- Run Tech
- Let attendees into the meeting
- Record Event and download to Google Drive location
- Manage breakout room assignments (and shuffles for additional breakout rounds as necessary)
- Launch Experience Poll (at Q&A cue, for a full 10-15 minutes, or when a majority of respondents have responded)
- Make announcements in chat about upcoming events,
- Address any participant questions, or tech difficulties, in chat
- Assure AMA Event Lead/Host has seen and posed Q&A (and anything that surfaces in Chat) to speaker
- Facilitate, as needed, Break Out Room Chats e.g., Thursday Morning Coffee and Marketing Monday Happy Hour
- Update/make suggested changes to “Housekeeping Slides” ahead of event
Responsibilities: Live Events
- Assist with event set-up on day of events which includes setting up registration tables, banners, name tags, and possible moving of furniture
- Greets attendees, assists them with signing in and provides necessary event materials and information
- Networks with attendees to help them feel welcome
- Helps with breaking down event including removing all AMA NJ materials from the event location
Time commitment and reporting requirements
- Serves approximately 8-10 hours per month, depending on the time of year
- Attends a minimum of 4 chapter events and programs (free or discounted price) per year
- Attends weekly or biweekly committee calls/meetings via Zoom
Experience/Skill requirements:
- Experience managing Zoom Meeting and Webinar Controls for Events ranging in size from 12 to 500 attendees preferred
- Live Event/Meeting Planning experience preferred, e.g., venue, catering, A/V, photography, but not required at this time
- Networking. Ability to call upon, or expand, network to source speakers (and other resources such as facilities and catering, as necessary, when we return to live events)
- In addition to confidence with Microsoft Office and Gmail, experience with our most commonly used tools --Slack, Google Drive, Airtable, Canva, i-Stock, and Eventbrite -- is desirable, but not required
